10X: Trello Data Synchronization

The connector lets you synchronize a board in Trello with a Kanban board in Jira Align using one of two power-ups: either the Jira Align power-up or the Custom Fields power-up.

Important: The kanban board in Jira Align is automatically set up with the settings needed for the board to sync. To ensure that all information syncs successfully, do not change these default settings!

Regardless of which power-up you choose, the connector syncs the following information:

Trello board members sync with Jira Align kanban team members

Board admins

Normal board members (non-observers)

Trello to Jira Align

Note: The Trello connector automatically creates user profiles for each board admin and normal  member, and assigns these users to the kanban board with admin permissions. However, to protect the privacy of Trello users, the connector does not sync the email addresses of Trello users with Jira Align users. To be granted access to Jira Align, Trello users will need to reach out to their Jira Align administrator to add their email address to their user profiles.

List and column rules:

  • Creating a column in Jira Align creates a corresponding list in Trello.
  • If a user edits a column’s name or column arrangement in Jira Align, those changes aren’t pushed to the corresponding Trello board.
  • If a column is deleted in Jira Align, the corresponding list and any cards in it are archived in Trello.
  • Once a card is archived in Trello, data will no longer sync with Jira Align. You may still edit fields in either system, however, changes will not be reflected in the other platform.
  • If a card is moved into a list on a Trello board, the change is pushed to Jira Align and the state on its corresponding Jira Align work item updates according to the state mappings for the column. State sync only occurs in one direction: from Trello to Jira Align.

*If you’re using the Jira Align Power-up, the Work Item Type field is a separate field on the back of the card. If you’re using the Custom Fields Power-up, work item type is pulled from a card’s labels; the connector searches for any labels named feature, story, or defect.

Additionally, when a work item type is changed in Trello, the work item in Jira Align is deleted and re-created with the correct fields and information:

  • If the work item type changes from Feature, any stories associated with the feature in Jira Align won’t be deleted, but the association with the original feature will be removed.
  • If the work item type changes from Story, any tasks related to the story will be deleted from Jira Align.

** If you’re using the Jira Align Power-up, the Owner field is a separate field on the back of the card. If you’re using the Custom Field Power-up, the connector syncs the name of the member who was first added to a card as the owner. If the first added member is removed, the owner will update to the member who was added second, and so on.

*** Point values entered in Trello will sync directly to Jira Align, even when those values aren’t selectable using the estimation system in Jira Align. For example, if you use Fibonacci estimation, and enter a value of 4 in the Points field of a Trello card, the corresponding Jira Align field will contain a value of 4, even though that is not a valid Fibonacci estimation value.

State

An unchecked checklist item maps to the Not Started task state in Jira Align. A completed checklist item corresponds with the Completed task state.

Additionally, the connector creates a link to the Jira Align work item as an attachment on the Trello card. When a synced work item is linked to a parent work item in Jira Align, a second link to the parent work item link is created as an attachment.

Similarly, in Jira Align, you can access the card in Trello from the Work Item’s Details panel using the View in Trello button.

All changes to the Jira Align work items (features, stories, defects, and tasks) are captured in the Jira Align audit logs.

Default Jira Align kanban board settings

  • Features, stories, and defects turned on
  • Overloading and state mapping allowed
  • Story LOE and Preliminary Estimate turned on
