You can manage and track your time on the timesheet. Time is entered in weekly intervals day by day for each time project a team member is working on. You can report your work hours as well as administration work (vacation or maternity leave).

The time tracking sheet is not official until the status is approved.

Jira Align also includes time submission workflow allowing users to submit time to a time approver and recall it if necessary. The time approver will accept or reject the time. They can also recall the timesheet if necessary.

Important: You need to have the Time Administrator or Time Entry role assigned to view this page.

Enter time

Note: For the rules on viewing projects on the timesheet, see the Time Entry Permissions section.

You can enter time against the administration code itself or against the tasks under the time project.

You cannot enter time against:

  • The time project directly, but only against the tasks underneath it.
  • The tasks under the time project that have not officially started, are past the Launched date or the Expected Completion date (only for Capitalized tasks, not Operating), after the time project's Closed/Cancelled date.
  • The tasks under a time project before the end of the latest locked time tracking period.

You may also see the blank boxes where you cannot enter time. It means that the tasks were changed during the week and you cannot enter time for the old tasks, but you can enter time for the new tasks.

Any holidays listed for a specific date for a region or city are grayed out on the calendar. You can still enter time on that day for project and administration work. Flexible holidays appear under Administration where you can enter time against them. You can view the number of your flexible holidays left for the fiscal year above the timesheet. When you use all flexible holidays for the fiscal year, they no longer appear on the timesheet. Flexible holidays on a "certain date" and "any date" cannot be taken on the same day.

For project tasks, you can enter time until the end of the week or later in the future if the Allow Time to Be Recorded Against Projects in the Future option is activated by your administrator. Administration tasks, for example, a maternity leave, can be recorded for future dates and are not bound by weeks or extract time periods. To satisfy the minimum and maximum hour validations for a location, you can enter time against administration codes for the entire week where the time tracking start date falls. For example, if the week runs from March 10 to March 17 and you start on March 14, you can enter time back to March 10 for administration codes only.

The number of hours you can enter per day and week is defined by the administrator under Administration (left menu bar) > Settings > WorkdayMaximum Hours.

To enter your time:

  1. Select Time Tracking from the left menu bar.
  2. On the toolbar (top-left of the page), click the Time Entry button. The Time Entry page (timesheet) displays.
  3. On the Time Entry page, expand the sections to find the tasks under Projects or the administration codes under Administration that you want to report on.
  4. Click in the box, and then type the time in hours that you spent on each item.
  5. Click the notes icon next to a task name to add notes about the work you did to inform your time approver what was done for a specific task. Your organization can also use this information for invoices when billing customers. You can edit notes until the time is submitted. Then, you can only view the notes.
  6. Click the Save Time button on the toolbar to save your time or click the Save & Submit button to save and submit your time for approval.
  7. If you submitted your time, leave comments if any, and then click Submit Time. By default, your time approver is selected, but you can select the other approver from the Time Approver drop-down menu if your time approver is sick or unavailable for some reason.

Notes:

  • You can view all works codes you are associated with.
  • You can enter time with two numbers past the decimal, for example, 7.55.
  • All entered time for the Projects and Administration sections rolls up in the Combined Total column.
  • Notes are available for project tasks only, not administration tasks or holidays.

Recall time

After time was submitted, you can no longer edit it. However, if you need to edit your time, you can recall it. When you recall your time, time cannot be approved by the time approver and the status on the time approver's page is Recalled. The approver can still see the time, but cannot approve it. If time is recalled after it was submitted, the time approver will receive an email notification about that. Time cannot be recalled if the time period was closed.

To recall your time:

  1. Select Time Tracking from the left menu bar.
  2. On the toolbar (top-left of the page), click the Time Entry button. The Time Entry page (timesheet) displays.
  3. On the Time Entry page, click Recall Time on the toolbar to recall your submitted time; the Recall Time button will display only if you have previously submitted a timesheet.
  4. Leave comments if any, and then click Recall Time. By default, your time approver is selected, but you can select the other approver from the Time Approver drop-down menu if your time approver is sick or unavailable for some reason.

Note: If you recall time, be sure to submit it again.
