Set up a kanban board

You can set up a Kanban board after completing all steps in the Manage cards on a board section.

Set up a Kanban board from the Kanban boards page:

If you’re using the new navigation:

  1. Select Portfolios, Solutions, Programs, or Teams in the top navigation bar and select the entity you want to set up a kanban board for.
  2. On the sidebar, select More pages in the list of options.
  3. Select Kanban boards; the Kanban boards page displays.


  1. Select Products in the top navigation bar and select the product you want to set up a kanban board for.
  2. On the sidebar, select Reports in the list of options.
  3. Select Kanban boards; the Kanban boards page displays.

If you’re using the old navigation:

  1. Select Program from the left Nav menu.
  2. Under the Manage section, select Kanban Boards; the Kanban boards page displays.

To set up a Kanban board:

  1. On the Kanban boards page, select the necessary Kanban board.
  2. Select Launch Board from the list on the right of the slide-out panel, and then click the Board Setup button on the toolbar (top-right of the page).
  3. Click the Add Swim Lane button on the toolbar to create a new swim lane, and then type its title. Swim lanes can be used to differentiate between classes of service, internal vs. external, customers' or other needs your organization may have. Most commonly, they are used to identify a differing class of service to mitigate risk or to establish work policies when teams have multiple competing priorities.
  4. Click the Add Column button on the toolbar to create a new column, type the column name, and then click Add.
  5. Close the dialog box.

A new top level column appears, and you can select from the four column types: Not StartedIn ProgressCompleted, and Accepted. The Accepted column appears only if you turn on the Map column states to story States option when creating the Kanban board. Stories, features, capabilities, and epics are put in an Accepted state if they are moved to the Accepted column. The dialog box may appear asking you to provide the team and PI to which the accepted story belongs.

Important: You must set the column types to view the Cumulative Flow and Cycle Time: Overall reports.

To select the workflow status of each column:

  • Click Select Type on the top of the column, and then select the appropriate status of the workflow from the Column Type drop-down menu.

You can consolidate work item types into a single column and map the work item states for each work item type uniquely within the same column.

The original state toggle is located at the top of the slide-out panel (Column Type) for the sake of the Lean Analytics / reports. Notice that when you set up a process step state mapping and the process flow has state mapping enabled, all work items within its specified program will be mapped to the process steps state mapping instead of what you have mapped below it (and of course, any work items not associated with that process flow will use the bottom state mapping).

Multitasking does not combine with efficiency, that is why WIP limits are so important. The WIP limit number shows how many cards can appear on the list.

To manage WIP limits of each column:

  • Click in the WIP box next to the column's title, and then type a new limit.

Important: After configuring the board, click Save, and then click Exit Setup
